Invoice Templates — designed invoice PDFs

Invoice Templates lets you give your invoices a professional, branded look. Instead of the single built‑in PDF, you keep a library of designs — each with its own colours, layout, a scannable QR code, optional product images per line, and your signature and stamp — and render any invoice through the design you choose.

It is off by default. Nothing changes on your invoices until an administrator turns it on.

Turning it on

Open Config Center → Invoice Templates → Settings. Choose an activation mode:

  • Off — nothing changes; invoices render with the standard PDF exactly as today. Only this Settings page is reachable.
  • Shadow — the template library and designer are visible so you can build and preview designs, but real invoice PDFs still use the standard look. You can also open a designed PDF from an invoice to preview it.
  • On — a chosen (or default) template renders the invoice PDF.

A safe rollout is Off → Shadow → On: build a design, preview it on a real invoice, then switch On.

The template library

The module's screen (Invoice Templates in the sidebar once enabled) lists your designs. From here you can:

  • Add starter templates — three ready designs to start from: Minimal, Green and Modern.
  • Create / edit a template in the designer.
  • Activate / deactivate, set default (the design used when an invoice has no specific choice), duplicate, and delete.

Designing a template

The designer has an HTML area (the layout), a CSS area (styling), an accent colour picker, a merge‑field panel and a live preview with sample data.

  • Merge fields are placeholders that fill in from the real invoice when it renders. Click one to insert it. Groups include the invoice ({invoice_number}, {invoice_total}, {invoice_total_in_words} — the amount in words, {invoice_terms}, {invoice_note}…), the client, your company, the line items loop, and special ones: {qr_code}, {signature}, {company_stamp}, {company_signatory}, {theme_accent}.
  • Items loop — everything between {items} and {/items} repeats for each invoice line, with per‑line tokens ({item_description}, {item_qty}, {item_rate}, {item_amount}, and {item_image} for a product picture).
  • Accent colour — pick a colour and use the {theme_accent} token in the design (headings, coloured bands, table headers). Changing the colour restyles the whole template.
  • Live preview — updates as you edit so you see the result immediately.

Good to know: designs are table‑based HTML so they render reliably in the PDF engine. The starter templates are already built this way — a good base to copy.

QR code

Put {qr_code} anywhere in the design and each invoice gets a scannable QR code (of its number). No setup is needed.

Product images per line

{item_image} shows a picture next to each line item when your install provides one. Where the image comes from depends on your setup; if there's no image for a line, it simply shows the text.

Signature & stamp

In Settings → Signature & stamp you can:

  • Draw the authorised signature with your mouse or finger, or upload an image of it.
  • Upload a company stamp.
  • Type the signer's name and role (e.g. Ion Popescu, Administrator).

These fill the {signature}, {company_stamp} and {company_signatory} tokens on every designed invoice.

Using it on an invoice

Open any invoice. With the module on, an Invoice template panel appears on the invoice with:

  • A template selector — choose which design renders this invoice, or leave Use the default template. Click Apply to this invoice to save the choice.
  • Preview — opens the designed PDF in a new tab.
  • Download designed PDF — downloads it (also available in the invoice More menu).

That's it — pick a look once, set it as default, and every invoice comes out branded, with your QR, signature and stamp in place.
