# 🏦 Bank Accounts & Bank Statements

This part of TSync keeps track of **where your money actually is** — which bank, which account, in which currency — and helps you **import bank statements** so you can match them to your invoices and expenses.

It answers three everyday questions:

- **Which bank accounts do we have?** (IBANs, currencies, the bank behind each one)
- **Which payment method goes to which account?**
- **What happened on the account?** (import the statement and review every line)

> 💡 Nothing you import is ever posted to your accounting automatically. Statements land in a **review area** first. You decide what becomes a payment, an expense, or gets ignored.

## The three building blocks

TSync separates the *simple thing your team uses* from the *real bank detail behind it*:

1. **Banks** — an address book of banks (name, country, SWIFT/BIC). The official banks for **Moldova (BNM)** and **Romania (BNR)**, plus a starter set for the **EU**, are already there; you can add more.
2. **Financial Accounts** — *where money is held — or owed*: a bank account, a cash desk, a wallet, a POS/merchant account, a **deposit**, or a **loan, credit line, overdraft, credit card or leasing**. Each has a currency and a **class** — *asset* (money you have), *liability* (money you owe) or *clearing* (money in transit). The class is set for you automatically from the type you pick.
3. **Bank Accounts** — the real account detail: the **IBAN**, the holder, the account kind (current, card, deposit…), and which bank it belongs to.

You'll find all three under **Setup → Finance**, next to a **Finance & Bank dashboard** (an at-a-glance count of your banks, financial accounts, bank accounts and recent statement imports) and **Bank Settings** (the default country for new banks, and **two separate switches** — whether a **Financial Account** and whether a **GL Account** is required when you save a bank account).

> 💱 **Currencies are stored as ISO codes** (MDL, EUR, RON, USD…), shown as `MDL — Moldovan Leu`. When you re-open an account the currency is correctly pre-selected — no more blank field or a stray "Mol".

> Think of it like this: a **Payment Method** ("Bank transfer MDL") points to a **Financial Account** ("MICB current account, MDL"), which is a **Bank Account** (a specific IBAN) at a **Bank** (Moldindconbank).

## Setting it up (once)

1. Go to **Setup → Finance → Banks** and check your bank is listed. If not, click **New bank**, pick the **country**, and choose your bank from the official list (Moldova/BNM, Romania/BNR or EU) — the name, short name, SWIFT/BIC and website fill in automatically. For a bank outside those lists, choose **Other** and type the details in manually.
2. Go to **Setup → Finance → Financial Accounts** and create one — e.g. *"MICB current MDL"*, type **Bank account**, currency **MDL**. You can link it to a **payment method** here.
3. Go to **Setup → Finance → Bank Accounts** and add the real **IBAN**, pick the **bank** and the **financial account**, and (optionally) tick **Show on invoice** so the IBAN prints on your invoices.

That's it — your payment method now "knows" its IBAN, bank and currency.

## Account types — assets, liabilities and clearing

A Financial Account isn't only a bank account. When you create one, the **type** dropdown is grouped into three families, and TSync sets the right *class* for you:

- **Assets** (money you have): bank account, cash, card, POS/merchant, online gateway, wallet, **bank deposit**.
- **Liabilities** (money you owe): **loan / credit, credit line, overdraft, credit card, leasing**. Pick one of these and an extra **Liability details** panel appears — lender, contract number, start & maturity dates, principal, outstanding balance, credit limit, interest rate and type — plus the GL accounts for the liability, interest expense and bank fees.
- **Clearing** (money in transit): suspense, clearing, transit.

> 🧭 **One account per IBAN / contract / currency.** Keep a separate Financial Account for each bank account, each deposit and each loan — don't mix several into one. To see totals by family, use the **Account group** field (Current accounts, Deposits, Loans & credits, Credit cards, Leasing…). That keeps every balance clean and reportable.

When you choose a GL account, TSync steers you toward the accounts that fit the class (bank/cash for assets, loan/credit accounts for liabilities, transit accounts for clearing) so a bank account never defaults to, say, a capital account.

## Importing a bank statement

Open **Bank Statements** in the sidebar.

1. **Choose the bank account** (optional) and **upload the statement file**. TSync accepts the common Moldovan formats: **MICB** (the `1C` XML or TXT export, and PDF for preview), and **FinComBank** (HTML export).
2. TSync **detects the bank and format automatically**, reads the period, the opening/closing balances and every transaction, and creates a **batch** you can open.
3. Open the batch to see each line — date, amount (debit/credit), the other party, and the description.

> ✅ **Safe by design.** Importing never changes your accounting. Lines sit as "unmatched" until you review them. If you upload the same file twice, TSync recognises it and won't import it again.

## Reconciling a statement — match every line

Open a batch and click **Reconcile**. This is the screen where you turn raw bank lines into things your books understand. For each line TSync shows the date, amount, direction (money in / money out), the other party and a **suggested match** with a confidence score.

You have four moves on a line:

- **Accept a match** — TSync suggests the **invoice, supplier bill, expense or payment** that fits this line (money *in* leans toward a customer invoice; money *out* toward a supplier bill or expense). Click **Accept** and the line is linked to that document. If the batch is already posted, accepting also moves the amount out of the clearing account onto the document's real account, and for an invoice it records a real payment against the outstanding balance.
- **Classify an unmatched line** — when a line isn't a document at all, label it: **Bank fee**, **Internal transfer** (money moving between your own accounts) or **Leave unclassified**. TSync reads the description and proposes the right one (for example, a line saying *"comision / service charge"* is proposed as a bank fee).
- **Allocate across documents** — split one bank line so part of it settles one document and part another (a single transfer that pays several invoices, or a payment plus a fee). You record each portion with its amount.
- **Auto-reconcile** — accept every high-confidence suggestion at once. You set a **minimum score** (default 85) and TSync accepts, reclassifies and settles each line at or above it. It's a fast first pass; you still review whatever it left behind.

> ✅ Every match, classification and allocation is recorded in the audit trail. Nothing here posts to your accounting on its own — these actions only advance the line's reconciliation status.

## Posting a reviewed statement to your books

Once a batch is reviewed, you can move it into the General Ledger:

- **Post to GL** — books the net cash movement of the batch against your clearing account and creates a visible **journal entry**. If the same batch is posted again, TSync tells you it was *already posted* instead of double-booking.
- **Reverse GL** — undoes a posting and **reopens** the batch for reconciliation. Useful if you posted too early or matched a line wrong.
- **Reprocess** — re-reads the batch against the matched bank account and recomputes its status (handy after you add the missing bank account or fix a currency). A posted batch can't be reprocessed — reverse it first.

> 🔒 Post, Reverse and Reprocess are confirmed actions (never a plain link), and each one — including any blocked posting — is written to the audit trail.

## GL accounts for posting (Bank Settings)

When TSync posts a statement it uses a small set of **GL accounts**, each one playing a **role**. You set these once in **Setup → Finance → Bank Settings**, and the RO-standard chart is filled in as the default:

| **FX difference** | exchange-rate gains/losses | 665 |
| **Transit / suspense** | money moving between your own accounts | 581 |

Each field shows a **green tick** if that account already exists in your chart of accounts, or a **red mark** if it's missing. The clearing account is the critical one — **posting is blocked** until every account a posting needs actually resolves in the chart, and TSync names exactly which account to add instead of failing with a cryptic error. Add it to your chart of accounts (Accounting → Mapare GL), or correct the code here, and post again. Changing these accounts, and any blocked posting, is audited.

## Import profiles (statement formats)

Open **Setup → Finance → Import Profiles** (also in the **Finance & Bank** sidebar). A profile is a small registry entry that tells the importer **which bank and which file format** a statement uses, so detection is reliable for your banks. You give it a label, pick the bank and the format; the unique key is generated for you if you leave it blank. The actual parsers are wired in code — this page manages the registry, not the parsing logic. (Deleting a profile is a confirmed POST action.)

## Payment mode classification

Open **Setup → Finance → Payment mode classification**. Here you give each of your payment methods a **type** — **cash, bank transfer, card, POS, online gateway, wallet** or **other**. The benefit: a bank account then only offers the payment methods that make sense for it (never *cash*), and the rest of Finance & Bank knows how each method moves money. Set the type once per method and save.

> **The type also decides which ledger account the money lands on.** A receipt taken with a method
> marked **cash** goes to the cash account (5311 in RO, 241 in MD) rather than the bank one — so the
> "Casă" balance really moves and the cash book corresponds. The same applies to card, POS and
> wallet. If you have linked a **financial account** to a payment method explicitly, that wins over
> the type.
>
> While a method has neither a type nor a linked account, the entry goes to the bank account as
> before. **Entries already made are not redone** — only new ones follow the type.

## Recompute reconciliation statuses (maintenance)

On the **Finance & Bank dashboard** there's a **Recompute reconciliation statuses** button. It re-evaluates every batch's status in one safe, idempotent pass — useful to clear batches that got stuck at "ready for reconciliation" after you added a bank account, fixed a currency or matched lines. It never posts and never changes data; it only refreshes the status TSync shows.

## Frequently asked

**Do I have to use this?** No. If you don't import statements, nothing changes. Payment methods keep working exactly as before.

**Will it post to my accounting?** Not automatically. Everything stays in the review area until you confirm.

**My bank isn't in the list.** When you click **New bank**, picking the country offers the official banks for that country (Moldova/BNM, Romania/BNR, EU). If yours still isn't there, choose **Other** and type the name, country and SWIFT/BIC — it's saved as a *manual / unverified* entry, which is fine for special cases.

**Which files can I import?** MICB `1C` XML/TXT and FinComBank HTML are read fully today. MICB PDF is recognised and previewed (full PDF reading comes later).

**"Post to GL" says an account is missing.** When you post a reviewed statement to the ledger, TSync uses a small set of **GL accounts** — a clearing/transit account, bank fees, exchange-rate differences, plus the customer/supplier accounts. You set these once in **Setup → Finance → Bank Settings**, and each field shows whether that account already exists in your chart of accounts. If one is missing, TSync now tells you **exactly which account** to add instead of stopping with a cryptic error — add it to your chart of accounts (or correct the code in Bank Settings) and post again. Changing these accounts, and any blocked posting, is recorded in the audit trail.
